UTmail+: Configuring Mac/Apple Mail 4.x/6.x


Please note: When you log in to UTmail+ through a web browser, your login is managed by the University of Toronto. Any means of accessing the UTmail+ service other than through a web browser will securely transmit your UTORid and password through Microsoft’s systems.


UTmail+ Exchange instructions for Mac/Apple Mail 4.x/6.x

Note: Using the Exchange setup allows you access to UTmail+ calendar features through the iCal application on your Mac.

    1. When opening Mac/Apple Mail for the first time, you should be prompted with the Welcome to Mail screen. If you already have an email account set up in the Mail application, you can add your UTmail+ account by going to the File menu and choosing Add Account.... (if you have upgraded to Mountain Lion and were using Mail previously, you may be prompted to upgrade your existing mail messages. Click Continue).
    2. Enter the following information:
      1. Full Name: your name
      2. Email Address: (usually of the form "firstname.lastname@mail.utoronto.ca")
      3. Password: your UTORid password

    3. In the next screen enter your User name: this is the same as your email address (usually of the form "firstname.lastname@mail.utoronto.ca").

    4. After clicking Continue, you will see a summary screen. You can choose to enable Calendars and Contacts. Click Create Account (Create in Mountain Lion) and you are now ready to go.

UTmail+ IMAP instructions for Mac/Apple Mail 4.x/6.x

If you would like to set up your UTmail+ account on Mac/Apple Mail 4.x using IMAP settings, follow the steps below.

    1. When opening Mac/Apple Mail for the first time, you should be prompted with the Welcome to Mail screen. If you already have an email account set up in the Mail application, you can add your UTmail+ account by going to the File menu and choosing Add Account....(if you have upgraded to Mountain Lion and were using Mail previously, you may be prompted to upgrade your existing mail messages. Click Continue).
    2. Enter the following information:
      • Full Name: your name
      • Email Address: (usually of the form "firstname.lastname@mail.utoronto.ca")
      • Password: your UTORid password

    3. Click Continue.

    4. In the next screen, enter your User name: (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca") Note: if you experience problems with this setting, please see our article about changes to UTmail+ account settings.

    5. If you see any error messages, ignore them and click Continue until you see the Incoming Mail Server screen. Enter the following information:
      • Account Type: IMAP
      • Description: UTmail+
      • Incoming Mail Server: outlook.office365.com
      • User Name: (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca") Note: if you experience problems with this setting, please see our article about changes to UTmail+ account settings.
      • Password: your UTORid password

    6. Click Continue.
    7. If you see the Incoming Mail Security screen, make sure Use Secure Sockets Layer (SSL) has a checkmark and Authentication is set to Password. Click Continue.

    8. You should see the Outgoing Mail Server screen. Enter the following information:
      • Description: UTmail+
      • Outgoing Mail Server: smtp.office365.com
      • Use only this server should have a checkmark
      • Use Authentication should have a checkmark
      • Username:  (this is the same as your email address and is usually of the form "firstname.lastname@mail.utoronto.ca") Note: if you experience problems with this setting, please see our article about changes to UTmail+ account settings.
      • Password: your UTORid password

    9. Click Continue.
    10. If you see the Outgoing Mail Security screen, make sure Use Secure Sockets Layer (SSL) has a checkmark and Authentication is set to Password. Click Continue.

    11. Mail will present you with an Account Summary. Click Create to add your UTmail+ account to Mail.

Further settings are required after Mail has downloaded all your messages and you can see all your email folders (IMAP setup only).

Note: These settings are provided so that Mail and the online interface both use the same folders. When you save a sent message in Mail, it will be located in the same folder (Sent Items) as it is on the online interface, similarly with deleted emails (Deleted Items) and junk emails (Junk E-Mail).

  1. Once you can see your messages in the Inbox, check on the left hand side of Mail for UTmail+ and make sure the arrow to the left is pointing down. You should see a list of folders such as Calendar, Contacts, Deleted Items, etc.
  2. In order to set up the proper folder to be used as the Trash, select the Deleted Items folder from under UTmail+and then go to the Mailbox menu and choose Use This Mailbox For>Trash.

  3. Your deleted messages will be in Deleted Items on the online interface, while still under Trash in the Mail application. In order to empty Deleted Items, simply right-click on Trash and choose Erase Deleted Items....
  4. Repeat this process for Sent Items, by selecting Sent Items from below UTmail+ and going to Mailbox>Use This Mailbox For>Sent. Your sent messages will be in Sent Items on the online interface, but still under Sent in the Mail application.
  5. Repeat this process for Junk E-Mail, by selecting Junk E-Mail from below UTmail+ and going to Mailbox>Use This Mailbox For>Junk. Your junk emails will be in Junk E-Mail on the online interface, but still under Junk in the Mail application.
