Group Scheduling in Outlook 2007


Group Schedules allows one to view the combined schedules of individuals, resources or public Calendar folders, and schedule meetings with the entire group or with individual members of the group. The grouping you create can be saved for later use.

  1. In Outlook 2007, go to Calendar view.
  2. From the Actions menu, select View Group Schedules to open the Group Schedules dialog box.



  3. The Group Schedule dialog box opens. Click New.



  4. Type a name for the group schedule, and click OK. The group's schedule dialog box appears.



  5. In the group's schedule dialog box, click Add Others and choose Add from Address Book. The Select Members dialog box appears.



  6. Select a person from the GAL, and then click To. Repeat this step to add other members from your Address Book.
  7. Click OK.
  8. To add a public Calendar folder, click Add Others and click Add Public Folder. The Select Folder dialog box appears.
  9. Click the public folder, and click OK.
  10. Click Save and Close


Viewing a Group Schedule

  1. From the Navigation Pane select Calendar.
  2. From the Actions menu, select View Group Schedules.
  3. Select the Group Schedule from the list.
  4. Click Open and the Group Schedule appears showing members and their schedules.

By adding a public Calendar folder to a group schedule, the calendar's events are available for scheduling purposes. If you wish you can incorporate group-wide or company-wide events into your schedule. In addition, you might use the public Calendar folder to identify company-wide meetings and other special events or to identify the availability of a specific resource.

To Add a Member to a Group Schedule

  1. From the Navigation pane select Calendar.
  2. From the Actions menu, select View Group Schedules.
  3. From the list select the desired Group Schedule
  4. Click Add Others and select Add from Address Book.

To Delete a Member from the Group Schedule

  1. From the Navigation Pane select Calendar.
  2. From the Actions menu, select View Group Schedules.
  3. Select the desired Group Schedule from the list.
  4. Right-click the member's name and select Clear.


To Schedule a Meeting

  1. From the Navigation Pane select Calendar.
  2. From the Actions menu, select View Group Schedules.
  3. Select the desired Group Schedule from the list.
  4. Click Make Meeting and select New Meeting With All.
  5. A new message appears, addressed to the entire group.
  6. Complete the message and click Send.
