Setting up a Shared Mailbox on Apple Mail


  1. Open the Mail application.
  2. Go to the Mail menu and choose Preferences. In the window that appears click on Accounts and click on the + located on the bottom left corner. 
  3. Choose Other Mail Account and click Continue.
  4. Type the Shared Mailbox Name, Email Address and your UTORid password. Click Continue (or Sign In).
  5. Enter the following settings:
    • Email Address: the address for the shared mailbox
    • User Name: your email address\the shared mailbox email address (e.g. firstname.lastname@utoronto.ca\shared.mailbox@utoronto.ca)
    • Password: Your UTORid password
    • Account Type: IMAP
    • Incoming Mail Server: outlook.office365.com
    • Outgoing Mail Server: smtp.office365.com
  6. Mail will check the connection to the mail server. This may take a few minutes. When it's done, you may see the Account Summary screen. Click Continue.
  7. In the next screen place a checkmark beside Mail. Click Done.
  8. Mail will open showing the Inbox. It will begin to import all of your shared mailbox folders and messages. This may take a while.
  9. Click on Mail, then Preferences. In the window that appears click on Accounts. Then click on Server Settings
    • if running an older version of Apple Mail, you may find the Outgoing Mail server (SMTP settings) under Account Information. Click on the field and select Edit SMTP Server List. Highlight the entry used by the shared mailbox. Then click Advanced and change the User Name field to your email address (e.g. firstname.lastname@utoronto.ca) and press OK. Then close the window.
  10. Under Outgoing Mail Server (SMTP) change the User Name field to your email address (e.g. firstname.lastname@utoronto.ca) and press Save. Then close the window.
