Managing multiple accounts for Students with Staff Status

If you have both student and staff status, you may have more than one U of T email account. As a student, you will get a UTmail+ account. Staff get a UTORexchange account.

If you attained your staff status after receiving your UTmail+ account, it is at your employing department’s discretion whether you receive a staff account with an @utoronto.ca address. If you are not issued a staff email address, this article does not apply to you.

These two scenarios may determine how you manage your two accounts:

Solution for Accounts with confidential information

If your work requires you to send or receive confidential information through email, you must send and receive through your @utoronto.ca address. To determine whether your staff role meets this criterion, discuss it with your supervisor or manager. If you are in this position, you have two options to manage your accounts.

Maintain Separation

By keeping the two accounts separate, you maintain the most clarity for you between your two roles of student and staff. This may be particularly important if you receive a large volume of email in one of both of your accounts. The one exception to this separation will be all email messages sent from Portal will be received in your staff account, even if they pertain to your student role.

To make your life easier, you can use desktop clients or mobile devices check both of your accounts in one place. If you are on UTmail+ and UTORexchange the following clients will work:

  • Outlook 2007 and up for Windows
  • Mac Mail/iCal
  • Outlook 2011 and up for Macintosh
  • iOS
  • Most Android based devices
  • Blackberry (BES Service)

If you are on UTmail+ and UTORmail the following clients will work:

  • Outlook 2007 and up for Windows
  • Mac Mail/iCal
  • iOS
  • Most Android based devices

NOTE: if you are not using the calendar function in your accounts you can use IMAP with any major email client.

Consolidate in Staff Account

If you only want to check your email in one place, you can forward your email from your UTmail+ account, to your staff account.

Instructions for forwarding are available here

The down side to this solution is that all email will be mixed together, though you may employ folder structures to help keep the roles separate.

Once you leave your staff position, all of your student email will need to be moved back to the student account. This may be best achieved by using desktop clients.

Solution for Accounts without confidential information

If your work does not require you to send or receive confidential information through email, and your department is comfortable interacting with you on administrative matters through your student email account, you may forward your email from your staff account to your student UTmail+ account.

Instructions for forwarding UTORmail/UTORexchange

Once you begin forwarding to UTmail+, and if you don’t have any confidential information already in your inbox, you can have UTmail+ import to contents of your UTORmail account .
